  • 1. All proofreading services commence after the client approves the price estimate.
  • 2. Orders received after 17:00 will be counted as having been requested on the following business day.
  • 3. Because no proofreading is provided on weekends and public holidays, the number of those non-business days must be excluded when estimating the date of completion.
Process of Work

Service Request
  • 1. In order to request a service, log in to the KAIST Language Center homepage and register. Then fill out the information on the proofreading request page and attach the file for proofreading services.
  • 2. MS Word formats are recommended when attaching the requested document file. (Special symbols cannot be used in file names.)
  • 3. If you are submitting a LaTeX file, it will be proofread through Overleaf, so upload the LaTeX Source file and a PDF version as a zip file. In the “Requirement” section of the online application, you must include the phrase “LaTeX file request” and your Overleaf ID.
  • 4. Please contact the Language Center via email or phone if you use programs other(HWP, PDF, PPT and etc) than MS Word: language@kaist.ac.kr or 042-350-8731.
  • 5.Upon placing an order, clients will receive a price estimate by email, and proofreading will begin only after the client approves the estimate. All notifications regarding the process as well as final completed work will be delivered through email and can be found on the MY PAGE of homepage

  • Rates of Proofreading
  • 1. The rates notified upon ordering will be provided by email once again upon completion of proofreading.
  • 2. Standard thesis drafted using MS Word
    • (1) Documents drafted using MS-WORD is standard
    • (2) The standard for one page is 270 words, and rounded up to one page for documents less than one page.
      A page containing fewer than 270 words will be considered equal to one page.
      *e.g. 7.84pages -> 8pages, 5.46page->6page, 6.43->6page
  • 3. Non-standard Documents
    • (1) Non-standard documents are documents drafted in different formats such as PDF, Hangeul(HWP), PPT and EXCEL. However, files in image file formats will not be accepted.
    • (2) As for a document outside the standard formats, clients must, in principle, provide simultaneously both the original file and its conversion into MS Word format (they may be uploaded as a *.zip file).
    • Documents for which the number of characters/words can be verified are to follow the page standards for standard document formats. Prior consultation with the Language Center regarding the exact price is required before service begins.
  • 4. Diagrams, numbers, special characters are excluded (captions are included). Parts recognized as words are included.
  • 5. Upon ordering, please state any portion of the document not to be proofread, which will be excluded from price estimation.
  • 6. Proofreading service may be denied for documents prepared using translation software or texts with excessive errors.

  • Proofreading Consultation Session
  • 1. After completion of proofreading, those who have requested consultation service can meet the proofreader for confirmation of the contents revised. If you want to further discuss the revision to improve your writing, you can have a consultation session with an English native proofreader.
  • 2.After proofreading is completed, the appointment of the consultation session will be made through email or phone. Consultations will be scheduled for a minimum of one hour, up to a maximum of 3 hours. (The consultation fee is 40,000 KRW per hour.) The session will be held at the Language Center office.
  • 3. Please note your desire to have a consultation session when initially requesting proofreading service. Please note that not all requests for consultation sessions can be accomodated.

  • Cancelation of Comparison Proofreading and Changing a file
  • Regardless of the initial date of application, if you cancel or change a file that you have already requested, you will be responsible for the costs incurred by parts already translated. Cancellation and change procedures can be made by telephone only, please contact the person in charge.(Tel. 042-350-8731)
  • Guaranteed for re-proofreading/translation
  • 1. If all following requirements meet.
    - The official reviewer’s comment should be presented.
    - The document finally submitted must be identical to the proofread document.
    - The service must be requested within 3 years of the original KAIST Language Center translating date of completion.
    - The same translator must offer the service.
  • 2. Other reason for re-proofreading: If the proofreader evidently made mistakes.
  • 3. Process: The service begins immediately after evidentiary documents are received by email (language@kaist.ac.kr).
    * Documents required: Name (client), date of service, service number, original file submitted to the journal, letter from the journal with English comments
  • Document storage period and issuance of certificates
  • Documents will be stored for three years from the date of completion, and translation certificates may be issued for the same period.
